Position Overview
The Operations Project Specialist will report directly to the CFO and work closely with the warehouse team, sales representatives, and internal production staff. This role combines operational execution with project coordination — ensuring ecommerce and warehouse fulfillment orders are processed accurately, while also driving process improvements, reporting, and cross-team communication. The ideal candidate will be detail-oriented, highly skilled in Excel, and comfortable balancing multiple priorities with a strong sense of urgency. This individual must be proactive in anticipating issues, capable of problem-solving, and willing to support hands-on warehouse tasks when needed.
Key Responsibilities
Order Processing & Warehouse Fulfillment
- Process incoming orders from the ecommerce storefront and internal sales channels.
- Monitor the completion of orders on the ecommerce storefront to ensure accuracy and timely fulfillment.
- Track order status, shipping details, and warehouse fulfillment progress to maintain visibility.
- Step in to assist with picking, packing, and shipping during peak periods.
Project & Workflow Coordination
- Coordinate and track warehouse and warehouse fulfillment-related projects from start to completion.
- Manage multiple projects simultaneously, prioritizing based on deadlines and company goals.
- Serve as a liaison between warehouse, sales, production, and finance to ensure alignment.
- Provide the CFO with regular updates on project status, risks, and performance metrics.
Data Management & Reporting
- Create and maintain Excel-based tracking tools, dashboards, and warehouse fulfillment reports.
- Analyze warehouse fulfillment performance (accuracy, timeliness, costs) and identify improvement opportunities.
- Monitor ecommerce storefront activity and ensure order data is processed correctly.
Problem Solving & Continuous Improvement
- Anticipate operational challenges and propose solutions to minimize disruption.
- Identify workflow inefficiencies and recommend process or system improvements.
- Support initiatives to increase accuracy, efficiency, and customer satisfaction.
Qualifications & Skills
- Strong proficiency in Microsoft Excel (advanced formulas, pivot tables, reporting).
- Excellent organizational and multitasking skills, with the ability to prioritize effectively.
- Strong sense of urgency and attention to detail.
- Clear, professional communication skills with both internal teams and customers.
- Problem-solving mindset with the ability to anticipate and resolve issues proactively.
- Willingness to assist with warehouse tasks, including picking, packing, and shipping.

Education & Experience Requirements
- Bachelor’s degree in Supply Chain Management, Business Administration, Operations Management, Logistics, or a related field preferred.
- An Associate’s degree combined with 2+ years of relevant experience in warehouse operations, logistics, or project coordination will also be considered.
- Familiarity with ecommerce platforms and warehouse management systems (WMS) is a plus.
- Experience working cross-functionally with departments such as sales, production, and finance is preferred.
